Review outreach kit¶
Tools for seeding the first 20 reviews on superiorwatertruckparts.com. Reviews are the highest single-lever CRO improvement available to us (+35-55% add-to-cart per Baymard), but they require real human outreach to seed.
This kit hands Andrea (or whoever runs sales follow-up) everything they need to make the asks.
Target¶
20 published written reviews in 14 days. Realistic personal-outreach conversion is 25-40%, so target reach-out count is ~60 customers to net 20 reviews.
Customer-pull query (run against QuickBooks)¶
Pull the top 60 customers by paid invoice total from the last 12 months (excluding 5–S Superior Parts internal QB ledger and any one-off "Customer:Job" entries that aren't real customers).
In QuickBooks: Reports → Sales → Sales by Customer Summary → date range Last 12 Months → sort by Total descending → take top 60.
Export columns: - Customer name - Primary contact name (look up in Customer Center if not on report) - Phone number (mobile if available) - Email - Total spend (12 mo) - Top product purchased (informs the review-ask scripting)
Save the list as D:\claude_www\projects\website_design_manager\swtp-products\data\_review-outreach-list.csv (do not commit — contains PII).
Email template — first ask¶
Subject line A/B options (use A by default; switch to B if reply rate is under 25%):
- A: Quick favor — 30 seconds for a review?
- B: Brandon at Superior — could you help me out?
Body:
Hi [first name],
[Andrea / Brandon] here at Superior Water Truck Parts. You bought a
[specific product or build — pull from invoice] from us in [month
year], and I wanted to reach out personally to ask a small favor.
We just relaunched our parts catalog at superiorwatertruckparts.com
and we're asking our best customers (you're literally on the top-60
list) to leave a quick written review. It helps other fleet
operators find us — and Google ranks us higher when real customers
say real things.
Would you mind dropping 1-2 sentences? It can be as short as:
"Bought a B3Z pump in March, was at the yard before noon, works
great." Or whatever your honest take is.
Here's the link: [Yotpo / Trustpilot review URL]
Whether you do it or not — thanks for the business. Means a lot.

Why this works: - "You're on the top-60 list" — flatters without being smarmy. Implies they matter. - "Top fleet operators" — peer comparison. - "1-2 sentences" + included example — sets a low bar; people don't have to think. - "Whether you do it or not — thanks" — removes the social pressure that kills response rates.
Phone script — for the relationships strong enough to call¶
For the top 15-20 customers, a phone call beats an email (conversion ~50-70% vs ~30% for email). Use this:
"Hey [name], it's [Andrea / Brandon] at Superior Water Truck Parts.
You got a minute?
Real quick — we just relaunched our parts site, and I'm calling
through our top customers asking if you'd drop a quick review
online. Just a sentence or two about whatever your experience has
been.
I can text you the link right now if it's easier — or if you'd
rather just tell me what you'd say, I can post it for you and
just confirm with you it sounds right before it goes live.
Either way — totally fine if it's not a today thing. Just wanted
to ask.
How's everything been on the [last product / build] anyway?"
The last question converts the call from a one-sided ask into a real conversation. If they're happy, the review will follow. If they're not, you'll learn something more valuable than a review.
Follow-up sequence¶
| Day | Action |
|---|---|
| 0 | First ask (email or call) |
| 4 | If no reply, follow-up email: "Hey — just bumping this up in your inbox. 30 seconds is all we need." |
| 8 | If still no reply, last attempt: "Last bump from me. Totally no pressure — but here's the link one more time if you ever do get a minute." |
| 14 | Mark as no-response; move to bottom of list |
Industry data: about 60% of "yes" responses come on the first email, 25% on the day-4 bump, 15% on the day-8 final. Three touches is the sweet spot — more is annoying, fewer leaves money on the table.
Reviews to seed if Yotpo's interface looks empty pre-launch¶
If the platform allows hand-imported reviews (Yotpo does, Trustpilot has stricter rules), use the existing relationship to ASK customers to email/text you a short review, then you post it on their behalf with their permission. Confirm verbatim before posting.
Do not write reviews yourself. Google + the platforms detect fake reviews and the penalty for getting caught is permanent loss of trust signal.
Tracking the outreach¶
Create a Google Sheet at D:\claude_www\projects\website_design_manager\swtp-products\data\_review-outreach-tracking.xlsx with columns:
| Customer | Contact | Phone | Top product | First ask date | Method | Response date | Review posted? | Rating | Notes | |
|---|---|---|---|---|---|---|---|---|---|---|
Update weekly. Goal: 20 published reviews by 2026-06-12.
Measurement (what to expect)¶
Per the audit's per-recommendation success metrics:
- Add-to-cart rate on products with reviews: +35-55% vs. products without
- Average rating target: ≥ 4.5/5
- Review count target: 20 in 14 days, 50 in 60 days, 100 in 6 months
If average rating drops below 4.0 at any point, stop the outreach campaign and investigate — there's a systemic problem that reviews are surfacing, and accelerating publication will hurt rather than help.
